Sound familiar?

  • Requests for goods arrive by email and nobody knows their status
  • Supplier lists are out of date and prequalification is a paper exercise
  • Evaluations are hard to explain when a bidder challenges the result
  • Purchase orders, invoices and deliveries never quite match

A procurement process that is quick for staff and solid for auditors

Good procurement is fair, fast and well documented. Usually you only get two of the three. This portal gives staff an easy way to request, gives suppliers a clear way to register and bid, and gives your committee a structured way to evaluate. Everything is recorded as it happens, and purchase orders flow into your finance system so the numbers agree.

Request and approve

Purchase requisitions

Staff raise a request in a simple form with the budget line and justification. It routes to the right approvers by value, department or category.

Budget checks

See budget availability at the moment of approval, so money is committed before it is spent and not discovered later.

Procurement plan

Plan the year’s purchases, track what has been started and see what is late against the plan.

Suppliers and tenders

Supplier registration and prequalification

Suppliers register online with their documents. You review, approve and renew them on a schedule, and keep one clean, current supplier list.

Quotations and tenders

Issue an RFQ or tender, take questions, publish clarifications and receive bids through the portal before the closing time. Late bids are blocked, not argued about.

Evaluation committees

Committee members declare conflicts, score each bid against the published criteria and see the combined result. The scoring record is ready if a decision is questioned.

Order, receive and pay

Award and contract

Record the award decision, notify bidders and move the winner into contract management with the terms and dates attached.

Purchase orders and goods received

Orders flow into Dynamics 365 Business Central or your finance system, and receipts are matched against them so what you pay for is what arrived.

Supplier performance and reports

Track delivery, quality and responsiveness by supplier, and report on spend, savings and cycle times.

  • A range becomes a fixed price after a short scoping call. What moves a price: users and departments, data to migrate, integrations, and how much is configured versus built.
  • Optional annual support and managed governance starts at 18% of the project value per year (minimum $1,800). Changes after go-live are $85 per hour, or a prepaid 20-hour block for $1,600.
  • Prices exclude VAT (16% in Kenya) and withholding tax.

Next Steps

  1. 1

Tell us how it works today

A short call about how procurement runs in your organization right now, who is involved, and where it hurts.

  2. 2

See it with your own process

We set up a working demo using your steps and wording, so you judge it on your reality and not a generic sample.

  3. 3

Agree scope, then build and launch

You get a clear plan, timeline and cost before we start. We configure, train your team and stay with you after go-live.

Questions we hear most

Can it follow our procurement policy or donor rules?

Yes. Thresholds, approval levels, evaluation criteria and document requirements are configured to match your policy, public procurement rules or a donor’s requirements.

Does it work with our finance system?

It works closely with Dynamics 365 Business Central. For other finance systems we agree an integration during scoping and tell you what is realistic.

Do suppliers have to install anything?

No. Suppliers use a web page on any device. They register, receive invitations and submit bids through it.

Can it handle both small purchases and large tenders?

Yes. Small purchases follow a light route, while large ones go through full tender and committee evaluation. You decide the thresholds.

Will it help with audits?

That is a core design goal. Every request, approval, bid and decision is time stamped and kept, so an auditor can follow the whole chain without chasing people.
