  • A range becomes a fixed price after a short scoping call. What moves a price: users and departments, data to migrate, integrations, and how much is configured versus built.
  • Optional annual support and managed governance starts at 18% of the project value per year (minimum $1,800). Changes after go-live are $85 per hour, or a prepaid 20-hour block for $1,600.
  • Prices exclude VAT (16% in Kenya) and withholding tax.

What is a project operations system?

A project operations system runs project-based work end to end: estimating and quoting, resourcing, scheduling, time and expense capture, project accounting, billing and profitability analysis. It is aimed at organizations whose revenue comes from delivering projects rather than selling products, consultancies, engineering firms, agencies, construction and professional services.

The distinguishing feature is that it joins delivery to finance. A project scheduling tool tells you whether work is on time. A project operations system tells you whether it is making money, because the same record carries the estimate, the resources assigned, the time booked against it and the revenue recognized from it. Firms running scheduling and accounting separately typically learn a project was unprofitable well after it finished.

The second thing it addresses is resourcing. In a professional services business the scarce resource is people with particular skills, and utilization is the number that drives profitability. Knowing who is available, who is over-committed and what the pipeline will require is difficult from a spreadsheet and nearly impossible across several offices.

Key features to look for in a project operations system

For project-based businesses. The estimate-to-actual and resourcing capabilities are what separate this category from general project management tools.

1

Estimating that becomes the project baseline

The quote built from the resources and hours it assumes, then carried into the project as the baseline, so variance against the original estimate is measurable rather than a matter of recollection.

2

Resource management with real availability

Skills, capacity, assignments and utilization across the firm, including pipeline demand from work not yet won. This is the scheduling problem most professional services firms solve badly.

3

Time and expense capture against tasks

Booking time to the project and task, from wherever people work, close to when the work happens. Late timesheets undermine every downstream number the system produces.

4

Project accounting and revenue recognition

Costs and revenue recognized against the project on the appropriate basis, percentage of completion, milestone, time and materials, with work in progress and accrued revenue visible.

5

Flexible billing arrangements

Fixed price, time and materials, milestone and retainer billing, with the ability to hold, adjust and approve draft invoices before issue.

6

Profitability at project and portfolio level

Margin by project, client, service line and delivery team, computed from actual cost rather than standard rates. This is what tells a firm which of its work is worth pursuing.

7

Subcontractor and disbursement handling

Third-party costs and pass-through expenses tracked against the project so gross and net margin are distinguishable, which matters wherever significant work is subcontracted.

Frequently asked questions about project operations systems

How much does a project operations system cost?

Sibasi implements Dynamics 365 Project Operations at USD 80,000 to 130,000 for a full deployment covering project setup, resourcing, time and expense, project accounting and billing, with custom scoping for multi-entity or multi-currency groups. Microsoft licenses are purchased separately in your own name. This sits at the enterprise end of the range and suits firms where project profitability is the central management question rather than firms needing simple task tracking.

How is this different from project management tools like Planner or Trello?

Task tools manage what needs doing and by when. They hold no cost, no rate, no revenue and no resource capacity, so they cannot tell you whether a project is profitable or whether the firm is over-committed. Project Operations joins delivery to finance, which is why it costs and weighs considerably more. A firm that needs task visibility should not buy this; a firm that cannot tell which projects made money should.

Does it integrate with our finance system?

Project Operations is part of the Dynamics 365 family, so integration with Business Central or Finance and Operations is native rather than built. Where finance runs on another platform, integration is delivered through the standard connectors and APIs. The integration that matters most is project cost and revenue reaching the general ledger without rekeying, since that is where reconciliation effort otherwise accumulates.

Can it handle both fixed-price and time-and-materials work?

Yes, including on the same project where phases are contracted differently. Each billing arrangement carries its own revenue recognition treatment, which is precisely the complexity that makes spreadsheet project accounting unreliable in mixed-model firms. Test this against your least standard contract rather than a straightforward one.

What size of organization does this suit?

It suits professional services firms large enough that resourcing across projects is a genuine constraint and project profitability is not obvious by inspection, typically from a few dozen fee earners upward, or smaller firms with complex contracting. Below that, the implementation cost is difficult to justify against a well-run combination of time recording and accounting, and we will say so rather than sell it.
