Highlights

Calls for proposals online Reviewer scoring Awards and disbursements Grantee reporting

Sound familiar?

  • Applications come in by email in a dozen different formats
  • Reviewers work from spreadsheets and nobody can see the full picture
  • Nobody is sure what has been paid out against which agreement
  • Grantee reports arrive late, incomplete or not at all

One place for the whole grant, from first application to final report

Whether you give grants or receive them, the pain is the same: too many documents, too many versions, and too little clarity about where the money is. The Grants Management Portal gives applicants a clear way in, gives reviewers a fair way to decide, and gives you a live view of funds awarded, paid and used. It is built to stand up to a donor audit.

Open the call and receive applications

Calls for proposals

Publish a call with its criteria, budget ceiling and deadline. Applicants register, complete a structured form and upload their documents, all online and from any device.

Applicant registration and checks

Collect registration papers, governance documents and references up front. Where you need deeper checks, link them to our eDueDiligence reviews.

Eligibility screening

Applications that miss the basic rules are flagged automatically, so reviewers spend their time on proposals that can actually be funded.

Review, decide and award

Reviewer scoring

Assign reviewers, let them score against agreed criteria independently, and see the combined results side by side. Conflicts of interest are declared and recorded.

Committee decisions

Take the shortlist to your committee with scores and notes in one view. The decision and its reasons are recorded for anyone who asks later.

Agreements and signatures

Generate the grant agreement from a template, send it for e-signature and keep the signed copy attached to the grant.

Pay, monitor and report

Disbursements by tranche

Release funds in instalments tied to milestones or reports. See what has been paid, what is due next and what is being held back, for every grant.

Budget and expenditure tracking

Compare each grantee’s spending with their approved budget, line by line, so overspends and underspends show up early.

Grantee progress and financial reports

Grantees submit narrative and financial reports through the portal on a schedule you set. Reminders go out automatically and late reports are easy to spot.

Funder and board dashboards

Funds awarded, disbursed and used, by programme, region or partner. Ready to share with donors and trustees without a week of spreadsheet work.

  • A range becomes a fixed price after a short scoping call. What moves a price: users and departments, data to migrate, integrations, and how much is configured versus built.
  • Optional annual support and managed governance starts at 18% of the project value per year (minimum $1,800). Changes after go-live are $85 per hour, or a prepaid 20-hour block for $1,600.
  • Prices exclude VAT (16% in Kenya) and withholding tax.

Questions we hear most

Is this for organizations that give grants or receive them?

Both. If you give grants, you get the full application, review and disbursement flow. If you receive grants, you can track the pipeline, funds received and expenditure against each donor’s terms.

Can we follow a specific donor’s rules and templates?

Yes. Forms, scoring criteria, reporting templates and approval steps are configured to match your grant policy or a donor’s requirements.

Will it link to our monitoring and evaluation data?

It can. Many clients connect grant results to Monival so that spending and outcomes sit side by side.

How do you protect applicant data?

Access is role based and every action is logged, so you can show who saw or changed what. Data is held in your Microsoft environment under your control.

Can applicants use it on a phone?

Yes. The application and reporting forms are designed to work on small screens and weak connections.
